Our Maladministration & Malpractice Policy

1. Purpose: 

  • To prevent, identify, and address any instances of maladministration or malpractice within the institution.

2. Scope: 

  • This policy applies to all staff and students involved in the administration and delivery of fitness education programs.

3. Definitions:

  • Maladministration: Inefficient or dishonest administrative practices.

  • Malpractice: Improper or unethical conduct by staff or students, including academic dishonesty and breaches of examination regulations.

4. Prevention:

  • Training: Regular training for staff on ethical practices, regulatory requirements, and institutional procedures.

Our Complaints Policy

1. Purpose

Fit Futures Academy International is committed to providing high-quality fitness education and services. This policy outlines the procedure for handling complaints from students, staff, tutors, contractors, and other stakeholders to ensure they are addressed promptly, fairly, and effectively.

2. Scope

This policy applies to:

  • All current and former students of Fit Futures Academy International.

  • Tutors, whether employed or working as contractors.

  • Administrative and support staff.

  • Any other stakeholders interacting with the Academy.

3. Definition of a Complaint

A complaint is an expression of dissatisfaction regarding:

  • The quality of educational services or support provided.

  • Conduct of staff, tutors, or contractors.

  • The learning environment or facilities.

  • Any aspect of the Academy’s operations that affect the complainant's experience.

  • Time Limit for Complaints: A complaint must be lodged within 6 months of the incident occurring.

Our Safeguarding Policy

1. Purpose

Fit Futures Academy International is committed to safeguarding and promoting the welfare of all its students, staff, and stakeholders. This policy outlines the procedures and responsibilities for ensuring a safe environment for learning, both online and on-campus, particularly in the context of personal training education.

2. Scope

This policy applies to:

  • All students, including online and on-campus learners.

  • All staff, including tutors, contractors, and administrative personnel.

  • Any other individuals involved in the activities of Fit Futures Academy International.

3. Definitions

  • Safeguarding: Protecting individuals, particularly children and vulnerable adults, from harm, abuse, and neglect.

  • Abuse: Includes physical, emotional, sexual abuse, and neglect.

Vulnerable Adults: Individuals aged 18 or over who are unable to protect themselves against significant harm or exploitation.

Our Prevention Policy

1. Purpose

Fit Futures Academy International is dedicated to creating a safe, ethical, and effective environment for learning and administration. This policy outlines measures to prevent maladministration, malpractice, and other issues that could compromise the integrity of our institution.

2. Scope

This policy applies to:

  • All students enrolled in online and on-campus courses.

  • All tutors, whether employed or working as contractors.

  • Administrative and support staff.

  • Any other stakeholders involved in the educational services provided.

3. Objectives

  • To foster an inclusive learning environment free from discrimination, harassment, and victimisation.

  • To ensure equal access to educational opportunities and resources for all students.

  • To provide a supportive working environment for all staff and contractors.

  • To comply with all relevant equality legislation and best practices.

4. Framework

This policy is guided by relevant laws and regulations including, but not limited to:

  • The Equality Act 2010 (UK)

  • All applicable policies and procedures relating to the Fit Future Academy International’s equality, diversity and inclusion standards are listing in the Student Handbook and the Teachers Training Policy Manual.

  • Other applicable policies are formulated and policed by individual facilities used for practical workshops and face-to-face delivery. Our students, staff and contractors will be made aware of such policies as when required.

 

5. Definitions

  • Equality: Ensuring individuals or groups are not treated less favorably because of their protected characteristics.

  • Diversity: Recognising and valuing differences, including race, gender, age, disability, sexual orientation, religion, and other attributes.

  • Inclusion: Creating an environment where everyone has the opportunity to participate fully and feel valued.

6. Roles and Responsibilities

  • Management: Ensure implementation and review of this policy. Provide training and resources to support equality and diversity.

  • Tutors (Employed and Contractors): Deliver courses in a manner that respects and promotes diversity. Report any issues related to discrimination or harassment.

  • Students: Engage in learning activities in a respectful manner. Report any issues or concerns regarding equality and diversity.

  • Administrative Staff: Support the implementation of this policy in administrative processes and interactions with students and staff.

7. Implementation

  • Recruitment and Selection: Ensure fair and unbiased recruitment processes for both students and staff. Accommodate specific needs where reasonable.

  • Teaching and Learning: Design and deliver course content that is accessible and inclusive. Utilise diverse teaching methods to accommodate various learning styles.

  • Support Services: Provide support services that are accessible and sensitive to the diverse needs of students and staff.

  • Training: Offer regular training for staff and contractors on equality, diversity, and inclusion.

8. Monitoring and Evaluation

  • Data Collection: Collect and analyse data on student and staff demographics to monitor diversity.

  • Feedback: Gather feedback from students and staff to identify areas for improvement.

  • Review: Conduct annual reviews of this policy to ensure its effectiveness and compliance with legal requirements.

 

9. Reporting Concerns

  • Students: Should report concerns to their tutor or through the student support services.

  • Staff: Should report concerns to their line manager or the Human Resources department.

  • Contractors: Should report concerns to their contracting officer or the designated contact at the provider.

All concerns will be handled confidentially and in accordance with the provider’s grievance procedures.

10. Accessibility

This policy will be made available to all students, staff, and contractors through the provider’s website and other appropriate communication channels. It will also be provided in alternative formats upon request.

12. Review

Our Appeal Procedures Policy

1. Purpose

To outline the process for appealing decisions made by the institution, ensuring fairness and transparency.

2. Scope

This procedure applies to all students and staff who wish to appeal a decision related to academic or administrative matters.

3. Procedure

  • Appeal Example: A student may appeal any type of decision made by a staff member or contractor of Fit Futures Academy, specifically relating to course content, practical submissions or any other type of inappropriate interaction.

  • Lodging an Appeal: All appeals can be submitted via the organisation's website on the contact page, or directly to the tutor via the online learning platform.

  • Review Panel: An independent panel, consisting of staff members not involved in the original decision, will review the appeal.

  • Decision: The panel will make a decision within 7 days and communicate it to the appellant.

  • Final Appeal: If unsatisfied, the appellant can make a final appeal to an external body, such as Transcend Awards (www.transcendawards.co.uk) who will then contact Fit Futures Academy for the necessary information.

4. Confidentiality

All appeal processes are handled with strict confidentiality to protect the privacy of all parties involved.

Our Quality Assurance, Monitoring & Standardisation Policy

1. Purpose

To outline the schedule and methods for monitoring and maintaining high-quality standards in all educational and administrative activities.

2. Monitoring Schedule

Quarterly Reviews: Internal audits of teaching practices, course materials, and administrative processes.

  • Bi-Annual Feedback Collection: Surveys from students, instructors, and industry partners.

  • Annual External Audits: Independent reviews by external bodies to ensure compliance with regulatory requirements and industry standards.

3. Standards Schedule

  • Monthly Departmental Meetings: Review and discuss quality metrics, student feedback, and improvement plans.

  • Annual Report: Comprehensive report detailing quality metrics, improvements made, and plans for future enhancements.

4. Responsibilities

  • The Quality Assurance Manager oversees the implementation of this schedule.

  • Department heads are responsible for compliance and reporting within their areas.

5. Tutor and Assessor Qualifications

  • Tutor Qualifications: Tutors must hold relevant industry qualifications to deliver the courses offered by the training provider. Internal company policy states that all tutors as relevant qualified individuals must have a minimum two years of working experience within the fitness industry, and have maintained relevance continually for a period greater than 24 months.

  • Assessor Qualifications: Assessors must hold relevant qualifications to assess the courses offered by the training provider.

 

6. Professional Currency of Tutors and Assessors

Continuing Professional Development (CPD):

  • Tutors and assessors will be required to maintain professional currency by undertaking continual professional development whilst working for the organisation.

  • The monitoring and review of CPD activities are overseen by the Education Manager to ensure that all tutors and assessors maintain the required qualifications.

7. Ensuring Course and Qualification Standards

Standardisation of Assessments:

  • Fit Futures Academy has an internal moderation process monitored by the Head of Education. This process consists of weekly reviews of team members assessments and marking performance. Ie: tutor 1 (one) will look at and review tutor 2 (two) student’s assessments and marking criteria.

  • Our online learning platform has a standardisation process with scripting and student communication prompts for tutor support.

  • Weekly regular meetings for standardisation of assessments.

  • Attendance by relevant staff members, discussing topics such as assessment criteria and grading consistency.

Assessment Sampling:

  • Conducting sampling sessions to ensure assessment standards.

  • Sessions include a range of assessment grades and involve designated staff responsible for sampling activities.

8. Employee Induction Process

  • A structured two day company induction is required for all new employees. All staff are given continual training and are allocated a support team member during the first 4 (four) weeks when starting with the organisation.

  • Includes orientation, training on policies and procedures, and assignment of a mentor for initial guidance.

Our Reasonable Adjustments & Special Considerations Policy

1. Purpose

To outline the procedures and guidelines for providing reasonable adjustments and special considerations to ensure that all students have equal access to educational opportunities and assessments.

2. Scope

This policy applies to all students, staff, and external partners involved in the delivery and assessment of Fit Futures Academy International courses.

3. Definitions

Reasonable Adjustments

  • Modifications or changes made to enable students with disabilities or specific needs to participate fully in education and assessments.

Special Consideration

  • Provisions made for students who experience unforeseen circumstances affecting their ability to perform in assessments.

4. Principles

  • Commitment to inclusivity and equal opportunity for all students.

  • Compliance with relevant legislation and educational standards.

  • Transparency and fairness in the implementation of adjustments and considerations.

 

5. Procedures

Requesting Reasonable Adjustments

  • Students can request adjustments to their tutor via the online learning platform.

  • Requests should be supported by appropriate documentation or examples of what adjustments are required.

Assessment of Requests

  • The Head of Education, in collaboration with relevant staff, will assess the requests.

  • Decisions will be based on the nature of the disability or need, the feasibility of the adjustments, and the impact on the student's learning experience.

Implementing Adjustments

  • Approved adjustments will be communicated to the student and relevant staff.

  • Adjustments may include extended time for assessments, provision of assistive technology, modification of teaching materials, etc.

  • All adjustments shall be reviewed and finalised by the entire education team using a collaborative approach.

6. Special Consideration

Requesting Special Consideration

  • Students must notify the Head of Education through the online learning platform of any unforeseen circumstances affecting their performance as soon as possible.

  • Requests should include relevant documentation (e.g., medical certificates, evidence of personal hardship).

Assessment of Requests

  • The Head of Education will review the requests in consultation with relevant academic staff.

  • Consideration will be given to the nature and timing of the circumstances, and their impact on the student’s performance.

Implementing Special Consideration

  • Possible outcomes may include deadline extensions, rescheduling of assessments, or alternative assessment methods.

  • Decisions will be communicated to the student and relevant staff promptly (within 7 days).

 

7. Monitoring and Review

  • Regular monitoring of the implementation and effectiveness of adjustments and considerations are carried out bi-monthly.

  • Annual reviews of the policy to ensure it meets the needs of students and complies with legislative requirements.

8. Responsibilities

  • The Head of Education oversees the implementation of this policy.

  • The Head of Education is responsible for processing requests and implementing adjustments and considerations.

  • Department heads ensure compliance within their areas and support the needs of affected students.

9. Confidentiality

  • All information related to requests for reasonable adjustments and special consideration will be treated confidentially.

  • Data will be handled in accordance with the institution’s data protection policy.
